Employee Tuition Reimbursement

The new Employee Tuition Reimbursement Program provides tuition reimbursement to those full-time and part-time employees, with at least 1 year of service, who take classes at an accredited college or university.  The program provides an enhanced benefit for those employees, with at least 5 years of service, who attend West Virginia University (WVU) at the Morgantown, Beckley, or Keyser campuses and WVU online.

Employees who take classes at an accredited college or university, including those who attend WVU Morgantown, Beckley, Keyser or WVU online, should log into UltiPro and complete a Tuition Life Event in the Life Events section.

Employee must also obtain proof of enrollment for the course/class beginning on or after August 1, 2018 (must show Student Name, name of the institution, and courses enrolled) and upload it into UltiPro.

Dependent Tuition Reimbursement

The Dependent Reimbursement Program provides reimbursement for those full-time and part-time employees with at least 5 years of service, whose eligible dependents attend any other accredited college or university other than the WVU campuses listed above.

Employees with eligible dependent children who attend any accredited college of university other than WVU Morgantown, Beckley, Keyser or WVU online, should log into UltiPro and complete a Tuition Life Event in the Life Events section.

Employees must also complete the following steps:

  1. Complete applications for all Federal and State grants and/or scholarships (This does not include loans or 529 savings accounts).
  2. Certify eligible dependent:
    • Submit through UltiPro a Birth Certificate or Federal Tax return
      • If you have not previously uploaded document(s) to certify your dependent(s), you will need to do so.
  1. Obtain the following documents and submit through UltiPro:
    1. Proof of enrollment for the Fall 2018 semester (must show Student Name, Full-Time student status, name of the institution, and courses enrolled)
    2. Federal Student Aid (FAFSA) Summary. To obtain this summary, visit www.fafsa.gov.

Dependent Tuition Assistance – WVU

To support employees and their dependent children, WVU Medicine is providing a dependent tuition assistance program. The program provides an enhanced benefit for those full-time and part-time employees, with at least 5 years of service, whose dependents attend West Virginia University (WVU) at the Morgantown, Beckley, or Keyser campuses and online.

The WVU Medicine dependent tuition assistance application period for students attending WVU in the Fall is closed.  Employees who have questions regarding the financials of the program can visit the WVU site for more information.  In addition, the WVU Mountaineer Hub is the contact for any tuition billing questions you may have.

*Please note that your student dependent may see a line item on their account labeled “College Tuition.” This is considered a college fee and is not part of the University tuition costs and is therefore not covered by the WVU Medicine Tuition Assistance Program.

In October, a notice from WVU Medicine that contains the taxable benefit amount and when it will be applied, will be sent to all employees who are receiving dependent tuition assistance.
